Buying a house in Sydney in 2026 is not simple. It involves competing bidders, tight cooling-off periods, complex contracts, expensive due diligence, and — for many buyers — the single largest financial transaction of their life. This checklist walks the entire process from 'thinking about it' to 'moving in', with a specific focus on the physical-inspection and legal-due-diligence steps that most first-time buyers underestimate.
Use it as a working document. Print it. Tick the boxes. It exists because too many buyers we work with are meeting the process for the first time under time pressure, and the pressure produces predictable mistakes.
Stage 1 — Pre-search (weeks 1-4)
Confirm your borrowing capacity with a broker or bank — not a website calculator. Get a formal pre-approval in writing, with the specific conditions and expiry date noted. Sydney pre-approvals typically expire after 90 days.
Confirm your deposit position. Standard deposit is 10% (with 5% and even lower increasingly accepted). If your deposit sits in a term deposit or shares, confirm the timeline to convert to cash before you offer.
Understand your stamp duty liability. Use the NSW Revenue calculator. Confirm whether you qualify for first-home-buyer concessions or exemptions.
Choose your solicitor or conveyancer before you start bidding. Interview two or three. Confirm fees in writing. Confirm they will be available in the timeframes typical of a Sydney purchase (2-5 business day turnarounds).
Choose your building inspector before you find your first property. The busiest inspectors are booked 5-7 days ahead in a hot market. Establish the relationship, understand their process and price, and be ready to book on short notice.
Stage 2 — Active search (weeks 5-16)
Set your suburb and property-type criteria and stick to them. Sydney has 650+ suburbs; you will not inspect them all.
Attend open homes systematically. For any property you are seriously interested in, take specific photographs of: the meter box, the sub-floor access, the roof from the street, the boundary fences, the driveway and any hardstand cracking, and any visible moisture staining.
Request the contract of sale for any property you would consider bidding on. Read it, then send it to your solicitor for review. Contract review is included in most solicitor's flat fees; do not skip it because you 'probably won't buy this one'.
Note key contract items: cooling-off inclusion (private treaty), auction date (auction), any special conditions, any inclusions and exclusions, the settlement period, and any known defects the vendor has disclosed.
Stage 3 — Serious interest (1-2 weeks before offer or auction)
Book the building and pest inspection. For auction, this must happen before auction day. For private treaty, book immediately upon offer acceptance, day 1 of cooling-off.
If the property is strata, book the strata records inspection at the same time.
Attend the inspection with the inspector where possible. This is the single highest-value hour in the entire buying process.
Take the debrief call. Ask specifically for: severity ranking, cost bands, and which findings would change your bidding ceiling or your acceptance of the price.
For any specialist follow-up flagged (structural engineer, roofer, electrician), commission it before the auction or before cooling-off expires.
Stage 4 — Offer, auction, or exchange (the leverage moment)
For private treaty: offer, negotiate, exchange with cooling-off. Cooling-off deposit is 0.25% of the purchase price, held by the vendor's solicitor. Cooling-off runs 5 business days from exchange, expires at 5pm on the fifth day.
For auction: register to bid. Bring your bidder identification. Set your ceiling before you walk in. Bid firmly and rationally, exit at your ceiling.
For post-auction offers: treat as private treaty with cooling-off waived if inside the 24-hour auction window, or with cooling-off included if outside that window. Your solicitor confirms.
For expressions of interest: read the vendor's process carefully. Some EOI campaigns are essentially private treaty; others are effectively unregistered auctions.
Stage 5 — Cooling-off window (5 business days)
Day 1: report to your solicitor. Solicitor writes formal negotiation letter to vendor's solicitor with report attached (if you are pursuing a reduction).
Day 2-3: negotiation runs. Vendor's solicitor responds. If specialist follow-up needed, extend cooling-off with vendor's consent.
Day 4: final decision. Proceed at original price, proceed at renegotiated price, or serve rescission notice.
Day 5 by 5pm: any rescission must be served. Cooling-off is unforgiving on timing.
If proceeding: pay balance of deposit (bringing total to 10%), confirm settlement date, finalise loan documentation.

Stage 6 — Settlement preparation (typically 42-84 days)
Finalise loan. Bank documentation, mortgage documents, LMI if applicable.
Conduct final inspection (walk-through) in the week before settlement. Confirm property is in the same condition as at contract, inclusions are present, and no new damage has occurred.
Arrange building insurance, effective from settlement day. Many buyers make the mistake of thinking the vendor's insurance covers them until settlement — it usually does not.
Arrange utility connections — electricity, gas, water, internet — for the day of settlement.
Confirm settlement time and location with your solicitor. Prepare settlement funds.
Stage 7 — Settlement and possession
Settlement occurs in the electronic PEXA system for almost all NSW residential transactions. The physical exchange of keys typically happens through the agent, in the 30-90 minutes after PEXA settlement confirms.
On the same day: collect keys, physically inspect the vacant property, take utility meter readings, document any new damage discovered post final-inspection (rare but happens — usually cabling and appliance issues from removed fixtures).
In the first week: change locks (mandatory in our view — you do not know who else has copies of the vendor's keys), test all safety switches at the switchboard, replace all smoke alarm batteries, and locate the water and electricity mains isolation.
Stage 8 — First 90 days (post-settlement)
For new builds: use the defects liability period. Walk the property weekly with the PCI report and log every new defect for the builder before day 90.
For established homes: schedule the remediation work identified in the pre-purchase inspection. Get three quotes on the biggest-ticket items (roof, waterproofing, electrical). Prioritise by risk: waterproofing and safety switches first, cosmetic items last.
Book the annual termite inspection for 12 months from settlement. Set a calendar reminder now — future-you will forget.
If you inherited any warranty from the vendor (recent hot-water system, recent roof work, termite treatment), request the paperwork through your solicitor before settlement paperwork closes.
